The field sales team at Freedom Health was previously using paper forms and a laptop program for insurance sales and customer onboarding. With over 20,000 applications coming in each year, the organization needed a more efficient way to complete and process them.
The Information Systems team set out to replace the existing laptop application with a mobile solution for smartphones and tablets, which had to be designed, tested, and deployed in the hands of the company's 200 field sales reps in less than two months.
"We were looking for a product that would allow us to deploy custom applications on mobile devices with very little development effort," said Kevin Adhia, VP of Information Systems, Freedom Health. "Our goal was to provide the ability to our sales agents to run sales applications on their iPads regardless of having network connectivity."

The existing laptop application could not be used without network coverage, resulting in more applications being completed on paper.
The field sales team at Freedom Health was finding it cumbersome to work with laptops, paper and electronic signature pads, and wanted to transition to more portable and user-friendly iPads.
"What would happen was in the event that a sales agent was using a laptop application in the field they couldn't use the online version, they would use paper," said Adhia. "Paper takes a longer because someone has to mail it in, scan it, key it in and extract the data, and only then can we take it to the next step which is submit it to our government agency for approval."
"With hundreds of applications coming in each week and each paper application taking 7-10 minutes to process into our system, we knew that reducing this paperwork could result in significant savings," said Krupal Patel, Project Manager, Information Systems, Freedom Health.
Freedom Health needed a mobile solution that was easy to implement, and that would minimize the burden on IT resources for the long term.
"One of our most important criteria for selecting an enterprise mobility solution was ease of deployment," said Adhia. Patel added, "We did not have enough time to build our own app or go through a third party developer to create a custom application for us."
The solution needed to be more than a one-way data collection application to support the complex business processes requirements of health insurance applications. Custom logic, two-way transactions, integration capabilities and workflows were all required.
"Flowfinity allowed us to easily put in our own business logic including rules and validation, whereas other products that we evaluated couldn't accommodate our business process requirements," said Adhia. "When we spoke with the team and learned about the capabilities of the software, we knew that Flowfinity would meet our needs."

Better Customer Service
Sales reps in the field can now better serve customers with quick access to insurance applications and other enterprise information on iPads. "The sales team wanted a solution that they could show to the customer and have them easily fill out an application on it," said Patel. "Now customers can sign directly into the iPad, and their information is sent to the office right away."
Many of the applications that Freedom Health receives need to be submitted to government agencies in less than 7 days. Flowfinity enables information to be collected and submitted in real-time. "We wanted to decrease the amount of time between when customers signed applications and when we received them, to ensure that tight deadlines could be met easily," said Patel.
Higher Quality Data
Using Flowfinity software, the Information Systems team was able to implement logic into their iPad app that ensures that the correct questions are asked, and all mandatory information is gathered on-site while sales agents are with the customers.
Two-way transactions allow sales agents to use reference data lists, which further improves the quality of data. A list of physicians is maintained in a separate Flowfinity app, where it can be easily kept up-to-date and accessed by sales agents in the field, online or offline.
Agile Mobile App Development
The benefits of the solution go beyond replacing paper and laptops and reducing data entry. The ability to make changes to the field sales app and deploy them instantly to all users lowers IT development and maintenance costs.

Freedom Health has future plans to expand Flowfinity to auditors who visit doctors' offices in the field. "We could potentially have our auditors upload patient charts for our company to review, which would streamline the auditing processes to achieve even further ROI on the software."
